C.4. System governance review workshop

The objective of the system governance review workshop is to agree the changes to criteria and system governance processes for use over the next year.
The workshop is held during the annual review.
The workshop is run by the system governance manager, and involves the system governance committee.
Prior to the meeting, circulate the updated terms of reference and the system governance review report. The system governance review report provides background information for the meeting, and lists the points for discussion in the meeting.
The annual review has two objectives: to deliver proposals to the IT decision makers, and then to review system governance based on the feedback on the proposals. This workshop contributes to the second objective, and it is a meeting to discuss and agree the content of system governance, the criteria and the systems. Do not get drawn into long discussions about the proposals delivered as part of the system portfolio review. The feedback on the proposals has already been used to update the system governance terms of reference. This meeting is about taking that forward into criterion and process changes, not revisiting the proposals and decisions.

Introduce the meeting. Stress that this meeting is about the content of system governance, the criteria and the systems, not about the recent proposals or the IT decision maker's response to them.

Present the review material from the system governance review report.

Discussion points
Present, discuss and gain agreement on each of the discussion points from the system governance review report.

Next steps
Explain what happens next in the process. This will involve amending criteria as agreed in this meeting, and then reviewing and signing off changes using the organisation's normal practices. If this is part of the first annual review, explain about the interim review process and say when the next interim review will take place.
